EXECUTIVE ASSISTANT

Description du poste

  • You will ensure the proper administrative functioning of the office and support for field operations, in conjunction with management, site teams and suppliers.
Duties and Responsibilities :
  • Ensure the day-to-day management of the office
  • Manage mail, generic emails and calls
  • Organize physical and digital archiving
  • Prepare administrative documents and reports
  • Monitor supplier and service provider contract
  • Administrative coordination with the sites
  • Preparation of site access files (badges, documents)
  • Tracking staff travel (travel, accommodation)
  • Logistical support to field teams
  • Interface between office and operational teams
  • Desktop Order Management
  • Local supplier follow-up
  • Organisation of transport and accommodation
  • Management of administrative stocks and consumables
  • Equipment import support (administrative documents)
  • Organisation of meetings and travel
  • Preparation, presentations and reports
  • Writing reports
  • Management of the agenda
  • Visitor and partner reception

Profil

Knowledge / Skills and Competencies:
  • Experience in a mining, industrial or construction company highly appreciated
  • Excellent organization and priority management
  • Proficiency in Excel, Word, Outlook
  • Rigor – autonomy – discretion – responsiveness – ability to manage several emergencies.
Training / Education Requirements:
  • Bac +2 or Bac +5 in management, administration or HR
Experience required:
  • Minimum 2-3 years of experience as an Office Manager or similar position
Language Requirements:
  • Professional English appreciated
